Core checklist

Basic pet travel documents to keep ready

Not every journey needs every document, but these are the items pet parents should prepare before discussing road, train or air movement.

ID

Owner ID and contact details

Keep owner ID, phone number, pickup contact, destination contact and authorisation details if someone else is handing over or receiving the pet.

VX

Vaccination record

Carry updated vaccination records. For dogs and cats, rabies vaccination proof is especially important for many train, air and destination checks.

VT

Vet fitness certificate

A fit-to-travel certificate may be required for train or air movement and is useful for road journeys, especially for senior or medically sensitive pets.

PT

Pet details

Note pet name, type, breed, sex, age, colour, weight, temperament and any medical condition or medication.

CR

Crate or carrier details

For air and some train cases, crate dimensions, weight and comfort matter. Carry photos and measurements if asking for guidance.

RT

Route and booking records

Keep route, ticket/PNR, airline/cargo booking reference, station/airport details and destination handover information ready.

Mode-specific guide

Documents by travel mode

The same pet may need a different document set depending on whether the journey is by road, train or air.

Travel mode Documents to prepare Important timing Who controls final acceptance
Road relocation Owner ID, vaccination record, pet health notes, route contacts, destination handover details and vet certificate if pet is senior/sensitive. Prepare before pickup. For long routes, collect health guidance before travel day. Customer, veterinarian and route conditions. Emergency medical decisions remain with veterinary professionals.
Train relocation Passenger ticket/PNR, owner ID, vaccination cards, pet details and veterinary fitness certificate as applicable. Railway guidance may require fitness certificate close to travel, often 24–48 hours before journey. Indian Railways controls booking, allotment, acceptance, timing and station procedures.
Air relocation Owner ID, ticket/booking details, vaccination record, rabies certificate, valid health certificate, crate details and airline/cargo paperwork. Airline document windows and pet slot booking rules must be checked before ticketing and check-in. Airline, airport and cargo teams control final pet acceptance and check-in/cargo approval.
Delhi NCR pet taxi Owner contact, pickup/drop address, pet health notes, vaccination record if relevant, leash/harness or carrier details. Share details before pickup so the vehicle and handling plan can be arranged. Transport team controls pickup/drop support; medical emergencies should go to a veterinary facility first.

What Singhania can support

We can help pet parents understand the practical checklist before booking and align the documents with the selected travel mode.

  • Mode-specific document checklist
  • Route and date planning
  • Crate/carrier guidance
  • Pickup and destination handover planning
  • Written estimate with inclusions and conditional items
  • Backup mode comparison if documents are not ready

What must come from others

Some documents and approvals cannot be created by a relocation company. This keeps the process honest and avoids last-minute problems.

  • Veterinary fitness certificate from a qualified veterinarian
  • Medical advice, medicine or calming support from your veterinarian
  • Airline pet acceptance and check-in approval
  • Railway booking, allotment and station acceptance
  • Local authority/license requirements where applicable
  • International import/export permits if moving outside India
Timing plan

When to arrange pet travel documents

Some papers can be prepared early, while others must be dated close to travel. Do not leave everything for the pickup day.

1

7–15 days before travel

Check vaccination record, rabies status, pet age/weight, route mode, crate availability and whether airline/railway rules may apply.

2

3–7 days before travel

Confirm route, ticket/booking plan, pickup/drop contacts, crate size, destination receiving person and any mode-specific paperwork.

3

24–48 hours before travel

For many train and air cases, the final veterinary fitness certificate may need to be recent. Confirm timing before visiting the vet.

4

Travel day

Carry printed documents, owner ID, pet leash/harness, crate/carrier, water/food plan and destination handover details.

Do not backdate or guess documents

Backdated, incomplete or mismatched documents can cause refusal, delay or unsafe travel. If documents are not ready, use a backup plan instead of forcing the journey.

Common mistakes

Document mistakes that delay pet relocation

These are the gaps that many pet parents discover too late.

Only phone screenshots

Carry printed copies for important documents. Phone screenshots may not be accepted everywhere and can be hard to verify.

Wrong pet details

Name, breed, sex, age, colour or weight should match across documents, booking forms and crate labels where required.

Old vaccination record

Check whether the vaccination record is current. Do not assume an old record is enough for airline, railway or destination checks.

Fitness certificate too early

Some travel modes require a recent certificate. If it is dated too early, it may not be accepted.

No crate measurements

For air and some carrier-based movements, crate dimensions and pet standing height matter. Guessing can cause rejection.

No backup mode

If documents, slots or rules do not work, road/train/air comparison should already be ready.

Air documentation

Air travel documents: extra caution

Air India’s public pet guidance for domestic travel mentions vaccination records and valid health/rabies vaccination certificate requirements. Airline acceptance still depends on route, pet slot, crate, breed, weight and check-in conditions.

  • Pet vaccination record / pet passport record if available
  • Valid health certificate from veterinarian
  • Rabies vaccination certificate where applicable
  • Passenger ticket or cargo booking details
  • Pet weight and crate dimensions
  • Airline pet booking confirmation or guidance
  • Destination receiving contact and ID

Crate document and measurement risk

IATA pet container guidance focuses on the animal having enough space to stand, turn and lie naturally. Airlines or cargo teams can refuse unsuitable containers, so crate dimensions should be checked before travel day.

Train travel document timing

Published railway guidance says a veterinary fitness certificate confirming the dog is not suffering from infectious or contagious disease should be obtained 24–48 hours before the journey and submitted along with vaccination cards.

Train documentation

Train documents and station process

Train relocation should not be treated like ordinary passenger ticketing. Pet documents, PNR/ticket, fitness certificate and station formalities should be checked before the journey.

  • Passenger ticket / PNR
  • Owner ID and contact details
  • Vaccination cards
  • Veterinary fitness certificate
  • Pet details and crate/carrier information if applicable
  • Authorised attendant details where required
Plan B

What if documents are not ready?

A missing document should not become pressure to move the pet unsafely. Build a backup plan.

Postpone the journey

If the fitness certificate, vaccination record or airline/railway paperwork is not ready, postponing may be safer than rushing.

Change travel mode

If air or train documentation fails, a planned road journey may work better for selected routes and pets.

Get vet advice first

For senior, anxious, pregnant, unwell or medicated pets, the veterinarian should confirm travel fitness before any mode is selected.

Fix crate/carrier gaps

If the crate is wrong, arrange a suitable crate and give the pet time to adjust before travel.

Prepare printed copies

Print owner ID, vaccination record, certificate, route details and booking information for handover points.

Ask for written estimate

A written estimate should mention which documents are needed and what is still conditional.

A veterinary fitness certificate may be required for train and air travel, and it is useful for road relocation. The timing depends on mode, route and rule requirements.
